Athlete Briefing Document
This document provides details you will require for your stay in Naro Moru, Kenya. To secure your hotel room and transfers in Kenya, we require confirmation of your room requirements and flight details. Please complete the attached form and e-mail back to info@mtkenyaepik.co.ke by Tuesday 10th November 2015.
Immigration Visas
Please contact the Race Office if you need a formal letter of invitation
to facilitate your visa application.
All participants who enter into Kenya will require the appropriate immigration visa. Immigration law varies depending on your nationality:
- Please check with your local Kenyan Embassy
- The sourcing of visas is the responsibility of the athlete
- If you require any further immigration information, please contact your local Kenyan Embassy or visit immigration.go.ae
- Athletes are responsible for arranging their own travel to Nairobi. Unless previously arranged, the cost of your travel is your responsibility
- Athletes are advised to arrive in Nairobi on Thursday 26th or Friday 27th November 2015.
- For foreign participant who will be staying at the Official Race Hotel (Naro Moru River Lodge), you may contact our preferred transfer service provider at Tel: or check out travelshoppe.co.ke for transfers from Nairobi to the Hotel, of which you will be required to cover the cost of transfer.
- Please confirm your return airport transfer prior to your departure at the hotel reception.
- Please note, if you are not staying at the Official race hotel then you will need to arrange / cover the cost of your airport transfers.
- If you / your athlete require a room in the Official Race Hotel, please complete the attached form and return it to the Race Office by 10th November 2015
- If the Race Office does not receive the attached booking form by the date stated, we will not be able to guarantee you / your athlete a room
- All hotel expenses including room rental, telephone calls, laundry, room services, mini-bar bills etc. are to be settled by the participants when checking out from the hotel
- Participants will be required to meet the cost of accommodation, food and incidental expenses
- The hotel will ask for your credit card details at check-in to secure the room. If you do not have a credit card, they will ask for cash upfront to pay for the room
- The official check-in time is from 2.00 p.m. If you arrive at the hotel early in the morning, you are recommended to book an additional night’s stay for the night before. A request for an early check-in can be made but not guaranteed until the day of arrival.
- Please check-out of the hotel before 10.00 am on the date of your departure and settle all your outstanding payment with the hotel. If you are departing in the evening, you are advised to book an additional night’s stay. A request for a late check-out can be made upon check-in at the hotel but not guaranteed. Alternatively, you can take your luggage to the hotel concierge for temporary storage until your departure time. The hotel reserves the right to charge for any check out after 11.00 am.

- If you wish to pre-pay by credit card, please connect to the hotel website on naromoruroverlodge.com and follow the instructions for online payment.
- Full American/English breakfast will be provided.
- Any cancellation received prior to 20th November 2015 will be accepted at no charge and will be fully refundable
- Cancellations received after 21st November 2015 will be fully charged, less any rooms resold
- Any cancellations received within 24 hours of the booking requested or in case of a no-show, will be charged for all nights reserved
- All participants are eligible to win prize money for the 2015 Mt. Kenya Epik Run. Details of the prize money for the Mount. Kenya Epik Run can be found at mtkenyaepik.co.ke . Prize money awarded by the Mount Kenya Epik Run will be subject to the local taxation regulations.
- The provisional results of the Mount Kenya Epik Run competitors will be posted on the official Mt. Kenya Epik web-site, mtkenyaepik.co.ke on Saturday 28th November 2015 from 4.00 pm
- The official rules & regulations for the Mount Kenya Epik Run can be found on mtkenyaepik.co.ke
- The local currency is the Kenya Shilling (Ksh). There are no restrictions on the movement of foreign currency into or out of Kenya for currency transactions
- For safety reasons bottled drinking water is recommended at hotels and other locations in Kenya
- Time Difference: GMT + 1 hours (during Autumn and Summer months)

- Average humidity in November: 66%
- You are required to obtain your own insurance for travel or personal accidents
- Water Stations will be located every 5km. Water will be supplied in 300 ml bottles with the tops off. In addition to Water Stations, Sponge Stations will be located every 5km.
- Any runner finishing over 05:00 hours will not be guaranteed an official finishing time.
